Job Description الوصف الوظيفي
Purpose of the Role:
To provide advanced administrative and executive support to senior management by preparing documents and correspondence, managing paper and electronic archiving systems, accurately following up on daily tasks, and adhering to the highest standards of confidentiality, organization, and professional proficiency in Microsoft Office applications.
Key Responsibilities:
1. Typing and Document Formatting (Arabic & English)
Type and format all types of documents (reports, correspondence, contracts, meeting minutes, schedules, forms) in both Arabic and English with zero spelling or grammatical errors.
Ensure formatting aligns with approved company templates (fonts, margins, logos, signatures).
Reproduce scanned or photocopied documents as required.
2. Paper and Electronic Archiving
Archive paper and electronic documents in organized files classified by type and date.
Apply the company’s approved archiving system (numbering, indexing, easy retrieval).
Securely dispose of outdated documents in accordance with the document retention policy.
Use Electronic Document Management Systems (EDMS) and cloud storage services (OneDrive, Google Drive).
3. Spreadsheet and Presentation Preparation
Create and update spreadsheets (Excel) to track data (meetings, task lists, expenses, maintenance requests, etc.).
Design professional presentations (PowerPoint) for the CEO, including charts, tables, and images consistent with corporate visual identity.
4. Soft Skills
Absolute Confidentiality: Ability to handle sensitive information (financial, strategic, personal) without disclosure.
Extreme Accuracy: Review documents and reports before submission, with zero tolerance for spelling or numerical errors.
Superior Organization: Time management, prioritization, and ability to work under pressure.
Tact and Discretion: Interact with senior figures, staff, and visitors in a professional manner.
Initiative and Problem-Solving: Ability to make simple administrative decisions within delegated authority.
5. Administrative and Organizational Tasks
Respond to simple phone and mail inquiries and direct them to the appropriate person.
Follow up on stationery and office supply requests for senior management.
Follow up on minor maintenance or technical support requests.
Organize current and closed files on office shelves and archiving cabinets.
