This Project Manager Assistant / Document control role requires highly organize individuals individual to deliver impactful support to Project Managers within:
Multiple Business segments: The role will support Amazon fulfillment centers (FC), delivery stations (DS), sort centers (SC), sub-same day (SSD), and darkstores.
Different Project types: The role will support both new launches (Greenfield), as well as retrofit of our existing buildings (Brownfield).
Wide project scope: The scope for this role is focusing on automation technologies (conveyance, sortation), Good-lifts (VRC) and Storage solutions.
The Document controller / Assistant Project Manager will support the project Managers throughout all internal processes, engaging with various teams (GPO, Capital Planning, RME, WHS, external vendors). Main support will focus on gathering key documents throughout the project execution (MSRA, Quotation, Workers information, handover document packages, Purchase orders, …). The goal is to ensure support to go through all necessary processes enabling start of work and bar raising handover to our customers.
With this role, you will be joining the AMET GES (Global Engineering Services) and OpsEng team. Our team is responsible for delivering engineering and construction projects across the Amazon network in the AMET region. In this role, Document Controller Engineer will support 10–15 Project Managers across 5 countries
The role will be based in Cairo.
Ability to speak multiple languages including English, German, French, Polish, Arabic, Turkish, Afrikaans and Zulu are considered preferred qualifications
Expected deliverables
1. Project Documentation & Change Management
Help project requestors to go through Change Management documentation process (Laminar & AMCAP) to onboard new projects.
2. Quotation Support
Assist Project Managers in following Spending and Transactions Policy (STP) and interact with the Global Procurement Organization (GPO) to secure quotations on non-category items for less than $100k.
3. Capital Approval
Support Project Managers in gathering required inputs from partner teams to complete the REI Capital Appropriation Request (CAR).
Follow up with approvers to ensure timely CAR approval.
Obtain budget codes and coordinate with the software team to ensure budget creation in a timely manner upon CAR approval.
4. Vendor Onboarding
Company Onboarding: Support awarded vendors in onboarding onto the Amazon vendor management platform (Avetta), including gathering key company documentation (e.g., insurance certificates, compliance records).
Worker Enablement: Coordinate with vendors to gather the list of individual workers and their contact details. Ensure completion of all onboarding steps, including: registration in Amazon tools, individual compliance certifications via Avetta for high-risk operations, printed badge issuance for site access, and third-party background checks.
Legal Compliance: Gather all required individual documents per local regulations (e.g., health certificates, contracts/subcontract agreements, social security evidence, etc.).
POs: Raise purchase orders on behalf of Project Managers using approved quotations and following STP standards.
5. BOLT Management
Company Onboarding: Support awarded vendors in onboarding onto the Amazon vendor management platform (Avetta), including gathering key company documentation (e.g., insurance certificates, compliance records).
Worker Enablement: Coordinate with vendors to gather the list of individual workers and their contact details. Ensure completion of all onboarding steps, including: registration in Amazon tools, individual compliance certifications via Avetta for high-risk operations, printed badge issuance for site access, and third-party background checks.
Legal Compliance: Gather all required individual documents per local regulations (e.g., health certificates, contracts/subcontract agreements, social security evidence, etc.).
Purchase Orders: Raise purchase orders on behalf of Project Managers using approved quotations and following STP standards.
6. Budget Tracker
Set up project budgets on Cost Cloud.
Prepare and submit monthly Cost Cloud reports to Capital Governance.
7. MSRA:
Support Project Manager to coordinate with local WHS teams and vendors to agree on MSRA. and ensure their approval through Avetta.
8 . Handover Documentation:
Support project manager to collect the 182 documents from the various vendors, required for handover to RME
9. Management of Change (MCM)
Support Project Managers in coordinating with vendor MCM, and support follow ups for approvals on time.
